Terms & Conditions

Booking, Deposit, Payment and Insurance

This agreement is made on the basis that the properties (Pasture House and The Stables) are to be occupied by the guests for a holiday (as mentioned in the Housing Act 1988 Schedule 1 paragraph 9) and the guests acknowledge that the tenancy granted by this agreement is not an assured tenancy and that no statutory periodic tenancy will arise when it ends.

-       Bookings cannot be accepted from persons under 18 years of age.

-       Once a booking is confirmed it is not subject to change. If you choose to cancel, see The Cancellation Policy for details of the terms that would apply.

-       Upon booking, 25% of the cost of the holiday must accompany the booking request. The deposit is non-refundable.

-       There will be a security deposit pre authorised to a credit or debit card or bank transferred to then be refunded, 7 days prior to arrival. This is £300 for Pasture House and £150 for The Stables, if you rent out both properties together it is £300. For the pre authorised card payment the amount will not leave your account unless, when you check out, there are damages that will be covered from the security deposit. The bank transferred security deposit will be refunded in full 14 days after you have departed, again unless there are any damages.

-       Once a booking is confirmed by Pasture House Ltd, the lead guest is responsible for the full balance of the cost of the holiday. This shall be paid no later than 8 weeks before the booking is due to commence.

-       Pasture House Ltd reserves the right to re-let any holiday where monies due are more than 7 days in arrears. However, if the property is unable to be re let, the guest will remain liable for the outstanding balance of the cost of the holiday.

-       Pasture House Ltd recommends that Holiday Insurance is taken out when making a booking.

-       In the event of the property becoming unavailable (such as due to fire or flooding), the owners will endeavour to provide the guests with suitable alternative accommodation or will refund all monies paid, or a proportion in the case of curtailment.

-       All prices quoted include VAT at current rates.

-       Please see our privacy policy for how your data will be used that is retained upon booking and how to opt out of this.

 

Cancellation Policy

In the event of cancellation, guests may be due a partial refund which is dependent on when notice of cancellation is given to us before the holiday start date. The refund is calculated as follows:

• 21 or less days notice – No refund due
• 22-35 days notice – 10% of the total accommodation cost
• 36-49 days notice – 20% of the total accommodation cost
• 50-63 days notice – 40% of the total accommodation cost
• More than 63 days notice – the guests liability for the remainder of the balance will be waived or the balance refunded if this has been paid previously.

If a refund is due, it will be paid within 14 working days of cancellation.

For all cancellations, the deposit will be retained.

COVID-19 UPDATE – If your booking needs to be cancelled due to government imposed Covid restrictions, there will be no charge to move your booking to a date in the future for the same number of nights at the same time of year. I.e., A booking in October would not be able to be moved to Christmas week for the same price.

WiFi

There is free WiFi throughout the properties, however this facility cannot be guaranteed to always be available due to the unpredictability of Service Providers.

Hot Tub

We want you to enjoy the experience of using the hot tub therefore it is essential that you understand and adhere to the rules below;

 • Pasture House Ltd take no responsibility for any accident, injury or health issue resulting from the use of the hot tub.

• The hot tub must never be switched off at the mains. Only authorised maintenance personnel are authorised to control the mains power.

• The chemical balance levels will be checked daily at approximately 8am. Therefore, it is essential that the water is kept clean so that the water remains at a safe cleanliness level for you to be able to continue to enjoy the hot tub.

• If upon inspection the hot tub is found to be unclean due to misuse, it may be necessary to for us to empty the hot tub and switch it off. We reserve the right to turn the hot tub off for the remainder of your stay.

• Do not exceed the maximum number of bathers per hot tub (one per seat)

• People with infectious diseases should not use the hot tub.

• Do not use the hot tub after a heavy meal or whilst under the influence of alcohol or medication.

• People on medication should always consult their doctor before using the tub.

• People who are pregnant, obese, have heart conditions, blood pressure problems, circulatory problems, skin conditions or diabetes should always consult their doctor before using the tub.

• Do not use the tub immediately after strenuous exercise.

• Do not open the electrical box of the hot tub.

• Never leave one person alone in the tub or let them sleep in it. This could lead to drowning.

• Do not drink the water or allow the water to enter your mouth.

• Never allow children under the age of 5 in the hot tub. All children over 5 must be supervised by a responsible adult.

 

Hygiene

• Guests must shower and use the toilet before entering the hot tub.

• Do not wear sun tan lotions, fake tan or skin creams

• Do not use any soaps or detergents of any type in the hot tub.

• Ideally your swimwear needs to be rinsed under the tap before you wear it in the hot tub because certain detergents and fabric conditioners can create foam on the top of the water.

 

Proper Use

• Do not exceed a maximum of 60 minutes immersion time in the hot tub.

• Keep all loose items of clothing and jewellery away from the rotating jets.

• Test the water with your hand before entering to make sure it is a comfortable temperature.

• Do not jump into the hot tub, nor stand on or jump on the lid.

• Be aware that surfaces in and around the hot tub may be slippery with water or ice.

 

Food and Drink

• Never take glass into the hot tub, plastic glasses are provided.

• Any glass broken in or around the tub needs to be reported immediately.

 

Operation

• Only use the control panel buttons shown to you on entry (this information will be displayed in the information folders in the property).

 

Removing and Replacing the Cover

• Do not attempt to forcibly pull the lid or its clips.

• Always strap the lid down where possible using the clips when you leave the tub. Failure to do so may end up with the lid being blown off and can damage the lid and its supporting arms.

 

Log Burning Stove

 

·       Please only use the natural firelighters, kindling and logs provided to light the stove. DO NOT burn anything else in the stove. This could damage the stove and result in you not being able to use it anymore during your stay. Pasture House Ltd also reserve the right to charge guests if evidence is proven that the rules were not followed when using the log burners, resulting in costly damage.

·       Initially make a bed of kindling surrounding the fire lighter and then light the firelighter. Close the door and use the sliding vent to control the air needed to get the fire started.

·       Once the fire is established, use the glove provided to open the door and start to add some of the logs provided onto the fire. Do not overload the stove, as this can lead to chimney fires.

·       Throughout the time you are wanting to have the stove lit, continue to add more logs as the fire dies down. Be mindful to make sure that the fires have completely died down before leaving them unattended.

·       Keep the door shut at all times apart from for initially starting the fire and adding more logs.

·       Be careful not to touch the stove once the fire is lit because it gets hot very quickly, especially be mindful of young children. Use the glove provided to open and close the door.

·       If any ash or embers accidentally fall out of the stove, please clean them up carefully and quickly using the cleaning tools provided.

·       There will be logs provided in the log stoves built into the chimney breast but if you require more, there is a log store located in the car park.


Pizza Oven

- Please only using the Pizza Oven located away from the oak fronted sheltered area, DO NOT use the Pizza Oven under the wooden sheltered area because there is a large fire risk.

- Please only use the natural firelighters, kindling and logs provided to light the Pizza Oven.
- ​Initially make a bed of kindling surrounding the fire lighter and then light the firelighter. Then start to add some of the logs. You can use the fire guard to prevent any ash coming into contact with the pizzas. To push this to the back of the oven, do not use your bare hands because it will be hot, use the pizza slice with the metal end. You can also wear the red heat proof gloves for extra protection (these are located on top of the kindling buckets next to the log burners).
- You may need to remove the door from the oven to enable the temperature to get up to the correct cooking temperature. Try not to allow the Pizza Oven to go above the optimal temperature, otherwise it could damage the oven.
- The oven will now be very hot so be careful to only use the wooden handle on the pizza oven, do not touch any of the metal and be mindful of young children.
- Once you have finished using the Pizza Oven, leave the ash in the oven. If you do not plan to use the oven again, then please leave the ash in the oven and we will dispose of it. If you need to empty the oven to be able to use it again, then please use the ash bin provided. DO NOT put ash in the plastic wheely bin, even the following day the ash could be hot so that could very easily start a fire. 

BBQ

- There will be some charcoal left inside the BBQ, where you light the brown paper bag as it is. There are rechargeable lighters provided in the house. 
- Like with the log burners and pizza oven, please be very careful as they can get hot very quickly and be especially mindful of young children. 
- Once you have finished cooking your food on the BBQ, please leave the ash in the ash collecting tray and we will dispose of it once you have checked out.

At Pasture House Ltd we respect your privacy and we aim to comply with the latest data protection regulations. This policy explains how we collect and handle data relating to website visitors. Please note that this policy may be altered in the future.

1. We Collect Information from Personal Information you Provide;

This information may be collected when you:

•         Contact us via our enquiry form.

•         Make a booking online.

•         Enter a competition.

•         Sign up to our mailing list.

Anonymous data (relating to your computer/device, not to you personally) is also collected whenever someone merely visits one of our web pages. This uses the Google Analytics service, and it involves the use of cookies.

The type of information we collect from you may include your name, email address, phone number, postal address and account password.

We may ask for information such as the names and ages of guests in your party, some of whom may be under 18. If you provide us with information for anybody under the age of 18, you will be asked to confirm that you are their parent or guardian and you agree to us handling their personal details.

2. How We Use Your Information

Our main purpose in collecting your personal information is to provide you with the services you requested and those which we believe will improve your experience with us.

We may use your information in the following ways:

-       To Fulfil a Contract

When you use our services, for example booking a holiday, we will need you to supply us with specific information required to fulfil a contract or related contracts. If you refuse to supply part or all of this information, we may not be able to fulfil these contracts.

-       Marketing Communications and Advertising

We may communicate with you about our last-minute deals, promotions and news.

-       Accounts

Some data will also be used for internal record keeping (e.g. for the accounts that we are legally obliged to maintain).

You can edit the name, phone number, postal address and email address by contacting us.

-       Marketing Opt-Outs

Please remember that if you change your preference it may take a short time for those preferences to become effective.

4. The Security of Your Information

When details such as your name and email address are submitted via a contact form or email, this can never be guaranteed to be 100% secure. As a result, while we strive to protect your personal information, we cannot guarantee the security of any information you transmit to us, and you do so at your own risk. Once we receive your information, we make our best effort to ensure its security on our systems.

5. Payment Security

We provide an online service that allows you to pay for your booking using your credit card details or debit card details. We do not store or process credit card details or debit card details on any of our systems; instead we use Holiday Rent Payments, which is a secure online payment gateway to process credit card payments and debit card payments on our behalf.

6. Your Rights

You have the right to ask us to provide you with the personal information we may hold for you and what we are using this information for. This is known as a “Subject Access Request”. You also have the right to request that we delete your personal information. Upon receipt of such requests we will endeavour to respond to you as soon as possible, but at least within one month.

If you believe the personal information we hold for your is incorrect, please let us know and we will rectify this as soon as possible.


We are a member of Premier Cottages, a professional collective of independent luxury cottage owners. Premier Cottages promotes properties on our behalf as well as other luxury cottages. As members of Premier Cottages we would like to give them your information so that they can contact you about other quality properties that you might like. You may unsubscribe from this service at any time.


Responsibilities and House Rules

Guests shall keep the property and all furniture, fixtures, fittings and effects in, on or at the property in the same state of repair as at the commencement of the holiday. Guests shall leave the property in the same state of cleanliness and general order in which it was found.

The guests must report and pay (this can be done via the pre-authorised card payment security deposit/refundable bank transfer security deposit) to the owners the cost of any damage or breakages made during their holiday occupancy. The owners reserve the right to make a reasonable charge where guests have contravened the request for our property to be smoke-free. There is to be no smoking of any form inside the cottages, this includes vaping materials and e-cigarettes.

Please use the heat pads provided for hair straighteners, curling tongs and any other heated hair styling appliances. Failure to do so could lead to costly repairs or replacement bills.

Please use the grey towels for use in the Hot Tubs only.

Please do not bring anything straight out of the oven or off the hob and put it directly onto the quartz work top because it is not heat resistant. There are the stainless steel work top trivets and also cork and bamboo stands for the dining table, because equally that is not heat resistant either.

If you bring any of your own electrical items to use during your stay, please ensure they are PAT tested.
Please do not plug an electrical vehicle (EV) charger into any of the sockets in the properties by running a lead through a window.

Please note that check out and in time will be 09.30 and 16.30 respectively in the summer school holidays to ensure the cleaners have enough time time to get the properties turned around to the correct standard.

The properties use a septic system so please adhere to the signs in each bathroom stating that nothing other than toilet paper can be flushed. Sanitary products, wipes, hair, nappies, cotton pads, cottons buds etc must be disposed of in the bin provided. Failure to do so could lead to the system not working which could affect the length of your stay but also the costs to repair it.
Due to the properties using a septic system this also means that only non-biological washing powder/liquid can be used to wash laundry. There will be a token amount of pods provided but if you use any of your own please make sure that it is non-bio.

Pasture House Ltd are not responsible for any injuries that occur during your stay, especially associated with children, they are your responsibility during your stay. There is an enclosed garden but make sure the gates are closed carefully. Equally in the house, there are two sets of stairs and two log burners so children should not be left on their own.

The guests right to occupy the property may be forfeited without compensation if:

-       More people than declared to the owners at the time of booking or before the commencement of the holiday and/or the number the property holds, attempt to take up occupation.

-       Guests arrive with pets. Exception; a well-trained assistance dog.

-       Overnight guests are entertained without the owners express permission. Live music and DJs are not permitted.

-       Any activity is undertaken which is illegal, or may cause unreasonable damage, noise, behaviour, or disturbance.

-       Any of the guests smoke in or at the property.

-       Any candles are lit in the property – please use the faux candles provided. No naked flames, other than to light the log burners if required.

-       When enjoying the space outside the noise levels rise too loud or swearing language can be heard. (an exception can be made if both properties are booked)

-       Any windows are left open when the property is left unattended, especially the skylights.

-       Any doors are left unlocked when the property is left unattended. We want to make sure your property as well as the house contents are safe.

-       Fireworks are let off. We cannot allow fireworks to be set off due to having livestock nearby which would spook them.

 

We are based in the countryside so if you decide to open the windows, then flies are likely to come into the property. There is a not very attractive fly swat in the under sink cupboard in the kitchen but this was feedback from a previous guest that they wanted a fly swat! We have also added fly chains to the back doors of both properties, fly traps in the trees outside and there will be fly spray in the cupboard underneath the sink which you could spray on an evening whilst people are not in the living areas. Unfortunately , flies are the price we have to pay for enjoying the peace and quiet and the views in the countryside.

The owners shall be allowed access to the property at any reasonable time during any holiday occupancy. This, where possible, will be pre agreed with the guests.

Please be mindful that there will be large farm machinery using the track in front of the property so make sure that children only use the enclosed back garden to play in. Also please only use the car parking areas provided and do not block through access by parking on the track.

At certain times of the year there will be noisy, dusty and/or smelly farm activities occurring, for example; combining, muck spreading or spraying the fields surrounding the property. Wherever possible, there will be prior communication with the guests to pre warn them for this but please do not go up to the machinery as there are lots of fast-moving parts. Also, there are often lots of blind spots for the operators on their machinery so just because you can see them, it does not mean to say that they can see you. The machinery could be operating on a weekend or into the evening as it will be when the weather conditions are suitable, please bear with us as it will not be for long.

 

Unfortunately, there are not any public footpaths that lead straight from the doorstep of Pasture House, we do ask that you do not take it upon yourself to walk around the fields surrounding the property. It is private land and there could be serious legal consequences if trespassing has occurred.

All we ask is that you treat our home like your home but in the event of damage caused, the owners do reserve the right to charge guests to cover the costs.
